What is an Apostille?

An apostille is a certificate issued by the UK Foreign, Commonwealth & Development Office (FCDO) that authenticates official UK documents for use abroad. It confirms that the signatures, seals or stamps on your birth certificate are genuine and can therefore be trusted by foreign authorities. More than 120 countries are members of the 1961 Hague Apostille Convention, so a UK-issued, apostilled birth certificate is normally recognised without further checks in those countries.

For many people, this is essential when they need to prove their identity, nationality or age outside the UK. Employers, schools, visa offices and courts overseas regularly require it. Without an apostille, a UK birth certificate can be refused, which may delay or even block applications for visas, jobs, citizenship, or school places.

When an Apostille Is Required

Working or studying abroad

Overseas employers, professional regulators and universities often request an apostilled birth certificate to verify your nationality or date of birth. This is common when applying for residence permits, work visas, or when registering with exam boards and licensing bodies outside the UK.

Registering a birth overseas

If a child is born abroad to UK parents, local authorities may require an apostilled UK birth certificate for the parents to register the birth. This helps confirm parentage, secure the child’s eligibility for British nationality or dual citizenship, and complete local documentation.

Immigration or citizenship applications

Permanent residence applications, citizenship by descent, and family reunification visas often require apostilled birth certificates to prove identity and family relationships. This applies to both the main applicant and dependants included on an application.

Other official processes

Some countries require apostilled birth certificates for marriage licences, adoption proceedings, pensions, or inheritance claims. Having an apostilled certificate ready can save time if you expect to deal with any overseas authority.

Which UK Birth Certificates Can Be Apostilled

Short-form and long-form certificates

Both can be apostilled. The short form only shows the child’s name, date and place of birth. The long form adds parents’ details and is strongly recommended because many foreign authorities reject the short form. Using a long form first time avoids delays or having to repeat the process.

Originals and certified copies

The FCDO will apostille either the original certificate issued by a UK registrar or an official certified copy from the General Register Office (GRO). Photocopies – even those notarised or solicitor-certified – cannot be apostilled. If you no longer have your certificate, order a replacement through the GRO online service or your local registry office before applying for an apostille.

Coverage across the UK

Birth certificates from England, Wales, Scotland and Northern Ireland all go through the same FCDO Legalisation Office. Processing times and requirements are identical regardless of which UK region issued the certificate.

Step-by-Step Apostille Process

  1. Get the right document

Check that you hold either the original birth certificate or an official GRO copy printed on the green or red security paper. This is what the FCDO expects to see.

  2. No Notary certification needed

Unlike many other documents, UK birth certificates do not need to be countersigned by a notary. They are issued by government registrars whose signatures are already recognised by the FCDO.

  3. Submit to the FCDO

Send your certificate when you submit your application to us. Many clients return to work with our team for their dedication to ensuring a thorough service, reducing turnaround times and handling multiple documents at once and to simplify what can be a complicated, confusing process.

  4. Receive the apostilled certificate

The FCDO attaches the apostille to the back of your birth certificate with its official seal and stamp. This is a permanent attachment. The certificate remains valid

Other Points to Check

Translations

The apostille is printed in English, French and Spanish. If the destination country uses another language, you may need a certified translation of the birth certificate itself. This is separate from the apostille and our team can arrange this service separately.

Originals vs copies abroad

Some countries insist on apostilles on the original certificate rather than a certified copy. We’ll confirm requirements with the overseas authority and explain which version we need to send.

Countries outside the Hague Convention

States such as the UAE, Vietnam, Thailand, Egypt and Jordan still need extra embassy or consular legalisation after the UK apostille. Once the FCDO has added the apostille, you must present the document to the relevant embassy or consulate in London for further authentication. Our team will offer advice and support, and advise you of the correct steps to take to ensure the process is as efficient as possible.
Multiple documents for Apostille

If you also need apostilles for marriage, death or adoption certificates from the GRO, each one usually requires its own apostille certificate. We’ll advise you of the process when handling several documents, and take care of everything to make the process more efficient.

*Birth certificates are not eligible for the FCDO e-Apostille service and must follow the paper process.

Frequently Asked Questions about Birth Certificate Apostille Certificates

Can a short-form certificate be apostilled?

Yes, but most foreign authorities prefer the long form. Using a short form may result in rejection, so order a long form first if possible.

Can a foreign birth certificate be apostilled in the UK?

No. The FCDO only apostilles UK-issued certificates. A foreign birth certificate must usually be legalised in the country where it was issued. A UKr Notary Public can certify a true copy of a foreign document for apostille, but acceptance depends entirely on the overseas authority.

Does an apostille guarantee acceptance abroad?

No. It confirms authenticity but each country applies its own rules. Some demand recent issue dates, translations or supporting documents. Always check with the destination authority before applying.
